Sampling. Preservation

Where labs use their own Samplers and need to record information about the Sampling process and capture Field Analysis results, the Sampling workflow can be activated in the set-up to enforce this step

Configuration

Be sure to enable Sampling workflow in the set-up. To be able to prelabel containers, set sticker printing to 'Sample registration'. You might also want to use a sticker template that includes Sample Point information to limit mistakes during sampling

The system adds a Sampling workflow step, that advances Samples from To_be_Sampled to Due

A Preservation step is automatically included for Samples configured to be preserved, and no specific configuration is required

Roles

Two roles are available for these steps, Sampler and Preserverto be assigned to users to give them permission to carry out these tasks. These may also be assigned to other users in addition to their say analyst or labclerk roles

Sampling

The Sampler and Date to be Sampled - NB the date the Sampling is to be performed - can be captured at Sample registration already. This example shows the actual Date Sampled, which only becomes available after the fact, as well as other Sampling information such as Environmental Conditions

For perishable Samples, the actual time of the Sampling can also be captured. And if configured, Field Analyses are added to the request for the Sampler to perform at the Sample point

When the samplers return with the Samples, The actual Sampler name and Date Sampled have to be captured

For the Samples to proceed to their next states, when checked in as received, all compulsory information has to be captured. They are normally promoted from the Sample lists where To be Sampled list filters and Sample buttons are available when Sampling is included

Alternatively, individual Samples can be promoted from their individual views and their state drop down menus

From here they enter the standard Bika workflow

Preservation

For Samples that require preservation, enable Preservation on the Sampling tab of the Setup. The Preserver, Preservation and Date/Time of the preservation can be captured. For this, these fields must be enabled on the Sample registration form

Most labs use pre-preserved containers or preserve the Sample at the Sample point already
